Privacy Policy

PoolHost ("we", "us", "our") runs free pool tournament software at poolhost.app. PoolHost is made by the team behind ChessHost. This policy explains what information we handle, how we use cookies and analytics, and the choices you have. PoolHost is free, shows no advertising, takes no payments, and keeps data collection to what is needed to run your events.
1. Who this policy covers
PoolHost has two kinds of visitors.
- Organisers create an account to set up and run events.
- Players and viewers use the public parts of the site, such as joining an event by name, following their matches, or watching the TV display in the room, without any account.
2. Information we collect
Account information (organisers only)
When you create an organiser account we store the email address you sign up with and your account settings. This is used to sign you in and save your events. PoolHost and ChessHost share one sign-in system, so the same account works on both sites, and anything you keep on either one belongs to that account.
Event content
When an event is run, PoolHost stores what the organiser and players enter: event details such as the name, date, venue and format, player display names, handicap levels, table numbers, scores and results, any note for players, and the prize pool and entry fee figures the organiser types in. Players do not create accounts and are not asked for an email address or any contact details. A display name is all they need to join.
Your saved player list
Organisers can keep a list of their regular players to reuse at future events. If an organiser chooses to save an email address with a player, it is stored with that list only. PoolHost never emails players.
On the player's own phone
When a player picks their name on the join page, their browser remembers that choice so the page can show their own matches next time. This stays on their device and can be cleared in the browser settings.
Automatically collected information
Like most websites, we receive standard technical information such as browser type, device type and general usage, through the analytics described below.
3. How we use information
- To provide and run PoolHost.
- To save organiser accounts, settings and events.
- To show the bracket, scores and results to the players and viewers of each event.
- To understand how the site is used and improve it.
- To send organisers account emails, such as confirming an email address or resetting a password.
4. Who can see an event
An event's join link, QR code and TV display show its name, the players' display names, matches, tables, scores and results to anyone who has the link or can see the screen. Do not put anything in an event that should stay private.
5. Cookies and browser storage
PoolHost uses cookies and similar browser storage. Some keep you signed in and remember your settings, and some support the analytics in section 6. PoolHost does not show advertising and does not use advertising or ad targeting cookies. Most browsers let you block or delete cookies in their settings.
6. Analytics
We use Google Analytics, in a property kept separate from ChessHost's, to understand general, aggregated use of the site, such as which pages are visited and on what kind of device. It is not used to identify individual visitors.
7. Payments
PoolHost is free and takes no payments. It never collects, holds or pays out entry fees or prize money. Any money at an event is handled by the organiser, outside PoolHost.
8. Emails
The only emails PoolHost sends are account emails to organisers, such as confirming an email address or resetting a password. They come from noreply@chesshost.app under the name ChessHost and PoolHost, because both sites share one sign-in system. Players are never emailed.
9. Children's privacy
PoolHost is meant for adults running pool events, and we do not knowingly collect personal data from children under 13. Players join with a display name only. If you are a parent or guardian and believe a child has given us personal information, contact us and we will remove it.
10. How data is stored
Account and event data is stored with Supabase, a hosted database and sign-in provider, and the site is served by Vercel, both on our behalf. We take reasonable steps to protect the information we hold, but no online service can be guaranteed to be completely secure.
11. Data retention and your choices
Organisers can delete their events in the app at any time. Finished events are also removed automatically 12 months after they finish. Events you are still running are never removed automatically. Removal is permanent and we cannot restore a removed event.
To have your account and its data removed, email admin@chesshost.app from the address linked to your account. Because the account is shared with ChessHost, deleting it removes your data on both sites.
12. Third party links
PoolHost may link to other websites, including ChessHost. We are not responsible for the privacy practices of other sites and encourage you to read their policies.
13. No responsibility and limitation of liability
The service is provided "as is" and "as available", with no warranties of any kind. While we take reasonable steps to protect data, to the fullest extent permitted by law the operator of PoolHost accepts no responsibility or liability for any loss, corruption, unauthorised access to, or disclosure of data, for any interruption to the service, or for any direct, indirect or consequential loss arising from your use of the site. Nothing in this policy excludes any liability that cannot lawfully be excluded.
14. Changes to this policy
We may update this policy from time to time. When we do, we will change the "Last updated" date at the top. Using PoolHost after a change means you accept the updated policy.
